How it works

Ask about any task. Get a clear recommendation.

Type what you need to get done, in your own words (for example, turn a two-hour recording into minutes, find a flight that lands before the board dinner, or total the expense report and flag what is over policy). The AI Tool Finder reads your request, finds the closest task it covers, and recommends the tool best suited to the job, along with a score out of 100 and a one-line explanation of why.

It also shows you the alternatives. You'll see the next-best options as cards, followed by the remaining tools in a table, making it easy to compare your choices and understand the tradeoffs.

Tell it what your company allows. Most firms permit some AI tools and not others. Select the tools you're approved to use, and the AI Tool Finder will show you the best option available within that list. The underlying scores do not change. If a tool you aren't approved to use would do the job better, you'll see that too, including the difference in score, giving you useful context if you want to request access.

The scoring remains consistent. Each tool is scored for each task on how well it does that specific job, and the six bands describe what the score means in practice: from Purpose-built, which works in place on the real file, down to Not a real fit, which is listed so the gap is visible. Filtering by your allowed tools never re-ranks what remains. A 93 is a 93 whether or not you can use it.

Free option means free option. Every answer says whether the tool has a plan you can use without paying, and whether it works inside the app you are already in or in a separate chat window. Those two facts decide more of your day than the score does.

The AI Tool Finder gets smarter based on what assistants actually need. Every request is recorded, including the ones it can't answer yet. Those unanswered requests help determine which tasks and use cases should be added next, so the resource continues to reflect the work assistants are actually trying to accomplish. The tasks you see first are the ones assistants ask for most.

Current scores, clearly dated. Each answer shows when its scores were last reviewed. Because AI tools change quickly, you can see exactly how current the recommendation is rather than assuming every score reflects today's capabilities.

Questions

Who is the AI Tool Finder for?

Executive assistants, chiefs of staff, hiring managers, and the executives and organizations that rely on them. It helps answer three questions:

  • For the EA: for the task in front of me, which AI tool is the best fit?
  • For the hiring manager: which AI tools should I look for when hiring my next EA?
  • For upskilling an EA: which tools should I provide to my EA(s) for training?

How do I use it?

Type what you need to get done in your own words, or pick one of the task buttons. If your company limits which AI tools you can use, select your approved tools. The AI Tool Finder will recommend the best option and show its score, why it earned that score, and the alternatives.

Can I use the AI Tool Finder when hiring an executive assistant or chief of staff?

Yes. The AI Tool Finder can help hiring managers understand which AI tools and capabilities are most relevant to the actual work an executive assistant or chief of staff will be doing. Use it to identify the AI skills that matter for the role and have more practical conversations with candidates about how they use AI to get work done.

Where do the scores come from?

Each score comes from a proprietary algorithm developed by C-Suite Assistants to determine how well a tool fits the task. The underlying scores remain consistent regardless of which tools you have access to, and every result shows when the scores were last reviewed.

What do the scores mean?

The AI Tool Finder uses six scoring bands:

  • Purpose-built (95–100): Designed to handle the task directly, often within the file or application where the work already lives.
  • Does the job well (85–94): Handles the task effectively with minor friction, such as uploading a file or moving between applications.
  • Capable, with gaps (70–84): Can complete much of the task but may require manual finishing or careful review.
  • Partial (55–69): Handles part of the task, with meaningful work still left to you.
  • Workaround (35–54): Technically possible, but not an efficient or practical way to complete the task.
  • Not a real fit (below 35): Included to make the capability gap clear.

My company only allows certain AI tools. Does that change the answer?

It changes which tools are recommended, not their scores. Pick the tools you are allowed to use and the answer is the best choice among them. If a tool outside your list would do the job better, the AI Tool Finder tells you which one and by how much.

What does "free option" mean?

It means the tool offers a free plan that can be used for that task. The answer also says whether the tool works inside the app you already use or in a separate chat window.

What if my task is not listed?

Type it anyway. The AI Tool Finder finds the closest task it covers and tells you it is the closest match. Requests it cannot answer are recorded and used to decide which tasks to add next.

How often is it updated?

Scores are reviewed as AI tools and their capabilities change, and each result shows when its scores were last reviewed. The AI Tool Finder also expands over time based on the tasks assistants are asking about most.

Which AI tools are covered?

The AI Tool Finder evaluates major general-purpose AI tools, including Claude, ChatGPT, Microsoft Copilot, Gemini and Perplexity, plus specialist tools built for a single job where one of those is the better answer.

Does it store what I type?

Yes. Each request is recorded with the answer given, your IP address and general location. The IP address is removed after 400 days. Everything else about your data is covered by our privacy policy.

Is it free?

Yes. The AI Tool Finder is a free resource from C-Suite Assistants. No sign-up is required.
